What the native HubSpot–Salesforce connector actually syncs (fact)

Fact (HubSpot). HubSpot’s Connect HubSpot and Salesforce documentation (last updated June 18, 2026 in the version Softix fetched) states that the integration can sync contacts, companies, deals, activities, and other supported data so teams work with consistent information. Typical object pairings documented across HubSpot’s Salesforce docs include HubSpot contacts with Salesforce leads/contacts, companies with accounts, deals with opportunities, tickets with cases, and engagements with Salesforce tasks. Custom objects can also sync when enabled.

Fact (subscriptions & editions). HubSpot documents the Salesforce app as available with Professional or Enterprise subscriptions across Marketing, Sales, Service, Data, Content Hub, and Smart CRM (except where noted). On the Salesforce side, HubSpot requires an edition with API access or Salesforce Professional; Government Cloud is supported; Group Edition is not. Fact (connected user). The Salesforce user you authenticate as is the connected user / integration user. HubSpot states that this user’s Salesforce permissions determine what HubSpot can create, update, or sync. Step 1 — Map: install, objects, fields, directions

Install prerequisites (fact)

Per HubSpot’s install guide, the HubSpot side needs Account Access permissions. The Salesforce connector user needs system administrator access with API Enabled, View Setup and Configuration, Modify All on objects you intend to sync, Download AppExchange Packages, Customize Application (for HubSpot Embed / automatic updates), Modify Metadata when using Embed and deal sync, and Task Type set Visible for the profile. HubSpot also notes IP restriction pitfalls: because HubSpot uses dynamic IPs, Enforce IP Restrictions on Every Request can break the connection; HubSpot recommends network IP range configuration instead of allowlisting HubSpot IPs.

Install path (fact): HubSpot Marketplace → Salesforce app → Install → authenticate Salesforce (sandbox checkbox if connecting a sandbox). HubSpot warns that records will not automatically sync after install; import Salesforce records or wait for automatic sync triggers.

  4. Sync rule per mapping — HubSpot’s options include Prefer Salesforce unless blank, Always use Salesforce, Two-way, and Don’t sync. Softix analysis: defaulting everything to Two-way is how you create silent overwrites.

Fact (sync rule behaviors, HubSpot). Prefer Salesforce unless blank: HubSpot passes a value only if Salesforce is empty; Salesforce values overwrite HubSpot; deletes in Salesforce delete in HubSpot. Always use Salesforce: HubSpot never passes data to Salesforce; Salesforce overwrites HubSpot. Two-way: most recent value wins; deletes propagate both ways. Don’t sync: no data passes. HubSpot notes Owner mapping is effectively two-way with exact name/email match requirements, and existing values in a newly created mapping do not retroactively sync until you resync or import.

Softix judgment. Map lifecycle and owner fields with extra care. HubSpot’s settings docs warn that syncing HubSpot contacts as Salesforce leads while auto-creating companies can create duplicate companies when leads convert—because leads lack accounts. Step 2 — Gate: inclusion segments, selective sync, conflict policy

A Gate is a decision checkpoint that stops “all contacts forever” from becoming your production default.

Inclusion segments (HubSpot → Salesforce) — fact

HubSpot’s Sync records between HubSpot and Salesforce article explains inclusion segments: they define which HubSpot records are eligible to sync to Salesforce. Records outside the segment will not sync. Only active segments can be inclusion segments. Selecting a segment does not automatically sync it; members sync when a sync is triggered. Softix analysis for SMBs: start with an inclusion segment such as “MQL+ or open opportunity associated” rather than every newsletter subscriber.

Fact (gotcha). If Salesforce is set to create HubSpot contacts from new leads/contacts, HubSpot may create/deduplicate those contacts even when they are not in the inclusion segment; further updates may not sync until the contact meets segment criteria. Selective sync (Salesforce → HubSpot) — fact

HubSpot documents selective sync as filters in the Salesforce integration settings that control which Salesforce records sync into HubSpot. Limits and honesty checks

Do records sync immediately after install?

No. HubSpot states records will not automatically sync after installing and setting up; import Salesforce records or rely on sync triggers / periodic checks.

Should every contact sync both ways?
